- Grade 12 / Matric.
- 23 years' administration or debriefing experience.
- FMCG, warehousing, distribution, or logistics experience is essential.
- Previous experience working with delivery drivers and PODs .
- Computer literate, particularly Microsoft Excel and Word .
- Experience with an ERP, WMS, TMS, or distribution management system will be advantageous.
- Experience working in a high-volume FMCG environment will be highly advantageous.
- Demonstrated drive for results
- Capture daily delivery and route information accurately.
- Process and reconcile delivery documentation.
- Monitor outstanding PODs and follow up on missing documentation.
- Capture customer returns and rejected stock.
- Assist with stock movement and delivery reconciliations.
- Maintain accurate records of deliveries, returns, shortages and damages.
- Assist with daily dispatch and distribution administration.
- Prepare daily operational reports for management.
- Capture information accurately onto the company's computer system.
- Maintain spreadsheets and operational databases.
- File PODs, delivery notes, invoices, and other operational documentation.
- Ensure documents are easily accessible for audits and investigations.
- Maintain accurate records of driver and vehicle activities.
- Good communication skills Verbal
- Ability to work in a pressurised environment
Key Responsibilities
- Debrief drivers when they return from daily deliveries.
- Receive and check delivery documentation, trip sheets and PODs.
- Verify that all PODs are correctly completed, signed and dated.
- Check returned stock, crates, pallets, products and delivery documentation where applicable.
- Record shortages, damages, returns, rejected deliveries and customer discrepancies.
- Investigate and escalate discrepancies to the relevant supervisor or manager.
- Ensure all drivers complete the required debriefing process before signing off.
- Capture information accurately onto the company's computer system.
- Maintain spreadsheets and operational databases.
- File PODs, delivery notes, invoices, and other operational documentation.
- Ensure documents are easily accessible for audits and investigations.
- Maintain accurate records of driver and vehicle activities.
- Communicate with drivers, warehouse staff, dispatch personnel, and supervisors.
- Liaise with customers or internal departments regarding delivery discrepancies where required.
- Escalate urgent delivery, stock, or documentation issues promptly.
